1. Data controller

The controller of your personal data is Trenify P.S.A., ul. Półwiejska 17/26, 61-888 Poznań, Poland (the "Controller" or "Trenify"). Data protection contact: kontakt@trenify.pl

2. What data we collect

We collect only the data you provide voluntarily: • Contact form: full name, email address, company name, website address, phone number (optional), message content. • Cookies: technical information about how the site is used (see section 6). We do not collect special categories of personal data. We do not profile users.

3. Purpose and legal basis for processing

We process your data for the following purposes: • Responding to a business enquiry — basis: Article 6(1)(b) GDPR (necessary for the performance of a contract or to take steps prior to entering into one). • Website traffic analysis (analytics cookies) — basis: Article 6(1)(a) GDPR (consent). • Fulfilling legal obligations — basis: Article 6(1)(c) GDPR.

4. How long we retain data

• Contact form data: until the business contact concludes, and no longer than 3 years. • Accounting data (invoices): 5 years, in line with tax legislation. • Cookie data: for the lifetime of the individual cookie (typically up to 12 months).

5. Data sharing

We do not sell your personal data and do not share it with third parties for marketing purposes. Data may be transferred only to: • Providers of technical infrastructure (Google Firebase — servers within the EU). • The contact form provider (Formspree, United States) — the transfer takes place on the basis of Standard Contractual Clauses. • The analytics provider (Google Analytics) — only after you have given consent. • Providers of accounting and legal services, where required by law. Your content and data are not used to train AI models.

6. Cookies

We use the following types of cookies: • Essential — required for the site to function (these cannot be disabled). • Analytics — collect data about how the site is used (Google Analytics). The analytics script is loaded only after consent has been given; before that it is not loaded at all. You can manage cookie consent through the banner shown on your first visit or through your browser settings.

7. Your rights

Under the GDPR you have the following rights: • Access — you may request a copy of the data we process. • Rectification — you may ask us to correct inaccurate data. • Erasure — you may request deletion of your data (the "right to be forgotten"). • Restriction of processing — you may request that processing be suspended. • Data portability — you may receive your data in a machine-readable format. • Objection — you may object to processing based on legitimate interest. • Withdrawal of consent — you may withdraw cookie consent at any time, without affecting processing carried out beforehand. 8. Data security

We apply appropriate technical and organisational measures to protect your data against unauthorised access, loss or destruction. Communication with the site takes place over an encrypted HTTPS connection.

9. Changes to this privacy policy

We may update this policy. We will announce material changes through a notice on the site or by email if you are our client. The date of the most recent update is shown at the top of the page.

10. Language versions

This is an English translation provided for convenience. The Polish-language version of this policy is the binding one; in the event of any discrepancy, the Polish text prevails. The Polish version is available at trenify.pl/polityka-prywatnosci/
